Adjusting formality means choosing words, greetings and endings that fit the person who will read your text. It appears in letters, emails, messages, speeches and spoken tasks, and the task usually names the audience. This lesson belongs to Second-language expression.
Chinese examples stay in Simplified Chinese with pinyin. The people are invented for this page.
What changes between formal and casual Chinese?
Four things change most often.
| Feature | Casual (to a friend) | Formal (to a principal) |
|---|---|---|
| You | 你 (nǐ) | 您 (nín) |
| Opener | 嗨,小李! | 尊敬的校长: |
| Request | 帮我一下,好吗? | 麻烦您……,可以吗? |
| Closer | 谢啦! | 谢谢您的时间,祝您工作顺利。 |
Formal does not mean long. It means careful: complete sentences, polite words and no jokes or slang.
Worked example
Task (invented): Hafiz wants to borrow the school hall for a charity bake sale. Write one message to the principal and one to his friend Ali.
Step 1, identify the reader. The principal is senior and needs polite, clear wording. Ali is a close friend, so a relaxed tone is fine.
Step 2, write the formal version.
尊敬的校长:
您好!我是十年级的学生哈菲兹。我们班想在下个月举办一次义卖活动,请问可以借用学校礼堂吗?我们会在活动结束后把礼堂整理干净。谢谢您的时间,祝您工作顺利。
哈菲兹
Step 3, write the casual version.
阿里,下个月我们班想办义卖,我去问了校长能不能借礼堂。你有空来帮忙吗?
Step 4, compare. The formal text names who is writing, gives a polite request with 请问 (qǐngwèn), makes a promise and ends with thanks. The casual text gets to the point at once and keeps the sentences short.
The mistake to watch for
A common slip is to start formal and then slide into casual words.
Mixed version: 尊敬的校长:你好!我们班想借礼堂,行不行?哈哈,谢啦!
Three things are off. 你 should be 您, 行不行 is blunt, and 哈哈 and 谢啦 belong in a message to a friend.
Correction: 尊敬的校长:您好!我们班想借用礼堂,请问可以吗?谢谢您。
A quick test: read the message as the principal. If any word would sound strange coming from a student in a meeting, change it.

Where this leads next
Once the tone is right, make the ideas flow with cohesive links that match the relationship. If you ever need to restate someone else’s words in your own tone, see paraphrasing without changing stance.
A teacher in online one-to-one Chinese tuition can role-play the reader and tell you how each sentence lands.
